EDMS expanded to a newly acquired business unit

Case study

Challenge

Following a corporate acquisition, the ICON Regulatory Technology & Information Management (RTIM) team was engaged by a mid-sized life sciences company to re design, configure, and deploy the existing EDMS to a new business unit.

ICON’s value add

  • Provided client with knowledge and experience on how to deploy an out-of-the box (OOTB) RIM with minimal configuration that supports their business processes.
  • Supported client by building best practices for business processes using the configured workflows and version controls.
  • Streamlined migration by applying ICON knowledge and experience to a heavily manual process.
  • Leveraged knowledge and internal
    training materials to minimise
    incremental effort.
  • Formed an ongoing, trusted partnership where ICON works together with the client for decision making, implementation, and guidance.
  • Implemented change control procedures as well as other functional data governance models.
  • Defined and implemented a hybrid operating model (centralised/ decentralised) to clearly define the business process and responsibilities to support the use of the new system.

Solution

ICON worked with the user community and key stakeholders to lead business process design and requirements analysis. The team collaborated with internal stakeholders to design strategic business processes and ways of working, which enabled rapid deployment of the system with minimal impact to major submission timelines.

Working with the client’s internal IT, the team delivered minor configuration enhancements to meet the specific needs of the Regulatory business. During this time, ICON was responsible for the manual migration of all existing content, across all R&D sub-functions, from file shares and SharePoint.
